Zapier The Essential Time Saver

Now let's have a little fun with some automation. For non-technical people, this could be a way of showcasing your secret programming skills to your colleagues and keep them wondering "how the hell are they doing that?"

Zapier is simply an online tool that helps you connect Gmail, Google Docs, Evernote, Google Calendar, Dropbox, Asana, Google Drive, MailChimp, Trello, Twitter, LinkedIn and Freshbooks to name a few and carries out automated functions. You don't need to know how everything works, but for conversational purposes here goes. The automation works basically on "triggers" and "actions" well in laymen's terms an "if this happens, then do that" function.

An example of a "trigger" that you could set up in Zapier might be receiving an email in Gmail from a certain address, an "action" might include receiving an SMS notification. Therefore this Zap will send you an SMS notification every time you receive an email from a certain client in your Gmail account. That's pretty cool hey!

This is a fairly old YouTube video (2013) but it will give you and idea of some of Zapier's integration possibilities with other applications.


Zapier is more of a business automation tool while it's only real competitor is IFTTT, which offers a little more in the way of home automation, such as using triggers to turn on smart lightbulbs, SMS notifications when you have arrived at pre-defined destinations turning on/off appliances, and much more.

Creating a Zap is clear every step of the way and is very easy to figure out what to do. 

Zapier has a variety of different plans to suit any business. The Free plan which I use suits me perfectly as I only use a couple of Zaps that run infrequently every month. You are however limited to 5 Zaps and they can only run 80 times per month which for my integration needs is perfect. For $20 / month you can superpower your workflows and have access to all 750+ apps as well as get priority support.
